What is Microsoft Power Automate and how does it work?

Automate complex processes and routine tasks across apps and services in no time? With Power Automate, that's child's play. Within the tool you can automate tasks by setting 'flows' that are triggered by specific events. That way you will have more time for bigger (and more important) with Power automate.

Power Automate is a drag-and-drop/low-code solution to automate repetitive tasks and business processes using workflows. It is designed for quick results and is easy to use. You can automate everything from small tasks to large-scale processes. For example, consider how many emails you receive every day, and how often an important message escapes your attention. With Power Automate, you can enable a template that will notify you when someone sends you a high-priority email.

Power Automate connects and automates tasks in hundreds of apps, both within the Microsoft ecosystem and external sources. Popular links include SharePoint , Power BI , Word, Outlook, Teams, Planner, Asana, Mailchimp, Twitter, Adobe Sign, DocuSign, Google Drive, Eventbrite, FreshBooks, and Trello. The solution is available as a mobile or desktop app, but can also be used within Microsoft Teams . The use cases vary widely - from managing leads, collecting customer feedback, reporting sick, requesting time off and more.

Power Automate offers a large number of ready-made templates for users to get started. These are easy to use and can be adjusted as needed.

Integration

A big advantage of Power Automate is that it offers more than 300 connectors to make the integration between Power Automate and different systems as seamless as possible. In addition to the aforementioned options, these are Excel, Dataverse, Dynamics 365 Business Central , YouTube, Salesforce and SAP ERP .

How do you know what you can or should automate?

With flows within Power Automate you can automate various processes and tasks. There are a number of criteria that make a task suitable for automation:

  • The task is repetitive
  • The task is time consuming

If both criteria apply, it is useful to automate the task. When choosing the tasks to be automated, it is good to take the following into account:

  • Which tasks are most important?
  • Which tasks are the most demanding?
  • Which tasks take the most time?

Once the priorities are clear and you are ready to get started, consider the following:

  • What is the purpose of the task?
  • What data is needed?
  • How is the task performed?
  • How is the task reported?

Outdated system? No problem with Power Automate Desktop with SharePoint Services Chicago.

A big advantage of Power Automate is that it supports legacy systems that don't have APIs. Automation of legacy systems leverages Power Automate Desktop, which allows users to scale workflows without coding.

With a point-and-click interface, you can register mouse and keyboard movements while a task is being completed. Power Automate Desktop converts this information into an automated workflow, such as collecting data for a weekly report.

Process Advisor

Process Advisor is a new addition to Power Automate. It is a process breakdown tool that provides insight into the way people work. Process Advisor maps workflows, finds bottlenecks and identifies tasks that can be automated. The tool finds out which applications your team uses often and how you can automate important actions, such as copying data from one app to another.
